Gympillar is billed to the club, monthly, sized by how many athletes you carry and how many locations you run. Every plan includes the whole product — scheduling, registration, invoicing, e-Transfer reconciliation, the family portal and your public website.
What decides the price
Two things: the number of registered athletes, and the number of locations. Nothing is charged per class, per coach or per administrator — add as many staff accounts as your club needs.
Athletes rather than families, because that is the number that tracks how much work the club actually does. A family with three children in four classes generates four registers, four places in a timetable and one invoice; counting them as one customer would price the busiest clubs the same as the quietest.
Plans start at $19 a month for the smallest clubs and step up with the athlete count. Clubs vary enough that a public price grid tends to be wrong for most of them, so tell us your athlete count and how you take money today, and you will get your number on the call rather than a quote three days later.
What every plan includes
There is no feature tier. A club with 120 athletes gets the same software as a club with six hundred — the plan sizes the club, not the product. Splitting e-Transfer reconciliation or waitlists into a higher tier would mean selling the smallest clubs the version that does not solve their Sunday evening.

What you are never charged for
Not per registration, not per invoice, not per email sent to a family, and not per staff account. A club should not be choosing between giving a second administrator a login and keeping the bill down, and a per-registration fee makes the busiest week of the year the most expensive one.
Card payments run on your own connected payment account, so what families pay settles to your club rather than passing through us on the way. Payments taken by Interac e-Transfer never touch us at all — they arrive in your bank the way they always did, and Gympillar reconciles the notification against the invoice.
Running more than one location
Locations are part of what sizes the plan because they are genuinely more work: a second gym means a second timetable to keep out of conflict, its own floor areas, and coaches who may work across both. A club running two halls of the same building is one location; two addresses families drive to separately are two.
Trying it before you commit
Create your club and set it up with your own programs, your own timetable and your own classes, without a card and without agreeing anything. Nothing is charged while you do, and the point is that you get far enough in to judge it against how your club actually runs rather than against a demo account full of somebody else's data.

Is our club's data ours?
Yes. Your families, registrations and financial records belong to your club, and you can export them.
What happens to our public website if we stop paying?
A club behind on its subscription keeps its public site readable. Taking a club's website offline over billing punishes their families, not the club.
Do you take a percentage of what families pay?
Card payments settle into your own connected account rather than ours, and the exact arrangement for your plan is answered directly on the call. Payments that arrive by Interac e-Transfer go straight to your bank and are only reconciled here.
Can we start without talking to you first?
Yes. Create your club, set it up and look around it with your own classes in it — no card, and nothing is charged while you do. Billing starts once you have agreed a plan with us.
Can we move to Gympillar mid-season?
Yes. Most clubs move between seasons because it is calmer, but there is nothing stopping a start partway through one.
