Gympillar for cheer

Teams, tryouts and the competitions in between.

Program management for all-star, prep and recreational cheer: a season with dates and a price, applications a coach decides on, and competition fees on the right invoice.

Ready the day you sign up. We set you up as a cheer gym: athletes on the register, coaches on the floor, a five-level starter ladder for tumbling and stunts, and a finder that asks how old the athlete is.

Built around a cheer season

Teams, a season and the competitions in it.

Programmes

Teams and tumbling on one timetable.

A team that practises three evenings and a Saturday tumbling class are separate programmes with their own capacity and price.

Placements

Applications a coach decides on.

A family applies, a coach sees the athlete, and a team spot is offered at the price you agreed.

Season billing

A season paid as agreed.

In full, monthly or on a plan of dates, with a one-time fee on the programme if you charge one.

In detail

A cheer gym runs on two clocks.

A cheer gym runs on weekly practices and on a season of tryouts, competitions and fees paid in pieces.

  • PracticesThe timetable handles the weekly side.
  • The seasonA season record has dates, classes follow them, and the payment plan hangs off it.
  • Team typesPick all-star, prep, recreational or tumbling from the list, or type your own.
  • Teams in hoursA competitive team is usually described in hours, so switch it to hours a week. The figure is measured from the practice times, shows a range where they differ, or uses your own number.
  • Part of a weekIf a family can manage only two of a team’s four practices, an administrator can arrange that week for them.

Tryouts and placements work as applications.

  • Applications, not seatsTurn off self-registration on a team and its form stops handing out places. A parent enters the athlete’s name, date of birth and practices of interest, and the application lands in an inbox under People.
  • Nothing is booked or chargedMedical details wait until the athlete has a place.
  • Ask a few questions firstYou can email the parent before deciding.
  • Approve to placeAfter the coach has seen the athlete, approving places them on a team at the price you agreed, with a note to the parent. The family then gets a task for their details and waivers.
  • What it doesn’t doIt’s an application queue. It doesn’t book tryout slots or rank athletes.

Season fees and payment plans

Families pay the way you set up the season.

  • Dates move the classesSaving a season’s new dates moves its classes.
  • How families payIn full, monthly or on dates settled by phone. Compare term and monthly pricing.
  • Registration feeSet on the programme, for insurance or a gym fee. It’s charged once per athlete per season.
  • Second-child rateComes off every child but the dearest.
  • Later months, draftedWhen an athlete is placed from an application, the later months are drafted as invoices that send themselves.

Competitions, travel and fees

A competition is a club event.

  • Invite and set placesInvite a team or chosen athletes, then set a fee and a number of places.
  • Households answerEach household answers from its account. A yes raises one invoice and takes a place, first yes first.
  • WithdrawalsBefore payment the bill is voided. After payment you get a notice, because a refund is your decision.
  • ResultsAfterwards you can record a placing and a note.
  • Bill a whole teamInvoicing can issue one charge to forty families as separate invoices, no invitations needed.
  • Events are newWe confirm which plans include them on a demo call.
  • The competition’s sideDivision checks, score sheets, music, routines and organiser entry links aren’t part of this.

Practices and writing to a team

Coaches get what they need at practice, and you can reach a whole team at once.

  • The coach’s registerThe register shows allergies and emergency contacts, and coaches see only their own classes.
  • Absences ahead of timeParents report them from their account.
  • Who has stopped comingA panel names athletes who missed every register taken in the last fortnight.
  • Write to a whole teamBy email, in the account or both. Replies come back as private threads.
  • A starter ladderFive levels with skills such as a round-off back handspring or a held prep. It’s a sketch to edit, not any governing body’s rules.

Payments, and where this stands

Here’s what works today and what’s still new.

  • Card and ACH, collected for youFamilies save a card or a bank account once, and each bill is collected on its due date. Every payment shows against its invoice.
  • Card and bank debit through StripeCollection runs through Stripe and hasn’t yet taken a real payment in production.

FAQ

Questions cheer gyms ask

Still have a question? Ask us on a demo call, and you will talk to the people who built it.

Can Gympillar run tryouts for a cheer team?

Partly. Turn off self-registration on a team and its form takes an application: name, date of birth and the practices of interest. Nothing is booked or charged. A coach places the athlete or declines. It does not schedule tryout slots or score anyone.

How do we charge families for a whole season?

A season has dates, and families can pay in full, in instalments, monthly or on a plan of dates agreed by phone. A registration fee can be charged once per athlete per season.

Can we charge competition fees and see who is going?

Yes, through club events. You invite a team or chosen athletes, set a fee and places, and each household answers. A yes raises one invoice for that entry. Events are new and no club has run one yet.

Can a team be priced by hours a week?

Yes. The hours are measured from the practice times, so three two-hour evenings come to six hours. Where practices differ you see a range, or you can type the figure you advertise.

Does it check athletes against competition divisions or score routines?

No. There is no division checking, scoring, music or routine management, and no link to an organiser's entry system.

Can cheer families pay by Interac e-Transfer?

Yes, with a limit. No software can collect an e-Transfer. Gympillar matches your bank's deposit emails to invoices by reference code and amount, and recurring collection cannot run on it.

Can cheer families pay by card or bank debit?

Yes. Families pay by card or ACH bank debit through Stripe, or save one and have each bill collected automatically on its due date.
